Finding a flat in Germany is competitive, paperwork-heavy, and conducted almost entirely in German. This guide walks you through every stage — from your first enquiry email to handing back the keys — with the exact phrases, vocabulary, and questions that will set you apart from other applicants.

The German rental market is notoriously difficult, especially in cities like Munich, Berlin, Frankfurt, and Hamburg. Dozens of people may view the same apartment. Landlords and agents hold the upper hand. And yet — the applicants who get flats are usually not the ones who earn the most or have the longest CVs. They are the ones who communicate clearly, respond quickly, come prepared, and make the landlord feel comfortable.

Essential vocabulary — the language of German renting

German real estate has its own dense vocabulary. Understanding these terms before you start searching will save you from confusion in listings, viewings, and contracts.

The Kaltmiete trap

Listings in Germany almost always show the Kaltmiete — the base rent without utilities. The Warmmiete (what you actually pay each month) is typically €150–300 higher. Always ask "Was ist die Warmmiete?" before calculating what you can afford. A €900 listing may cost you €1,150 per month in reality.

Important

Many German flats — particularly older ones — come without a kitchen. This is completely normal. The previous tenant takes their kitchen with them. Always ask before assuming. Installing a basic kitchen can cost €1,500–5,000+.

Your first enquiry — making a strong first impression

In a competitive market, your enquiry email is your first application. Landlords and agents receive dozens — sometimes hundreds — of enquiries per listing. A well-written, concise, warm German email sets you apart immediately. Here is a template that works:

What to mention — what to leave out

Mention: stable employment, how long you've been in Germany, that you're a non-smoker, that you have no pets (if true). Leave out: that you desperately need the flat, any past housing problems, personal details beyond profession and stability. German landlords want reliable, quiet, long-term tenants above all else.

Booking the viewing — by phone

Sammelbesichtigung means a group viewing — multiple applicants at the same time. These are common in competitive markets. Arrive on time, dress neatly, and introduce yourself to the agent or landlord directly. Making a human connection in 3 minutes matters enormously when they're choosing from a list.

Arriving at the viewing — the first 60 seconds

How you arrive and introduce yourself at a Besichtigung matters as much as what you say. Come on time or a minute early. Dress like you're going to a casual but important meeting. Bring your application folder (more on this in section 09). Smile. Shake hands if offered.

Questions to ask during the viewing

During the viewing, you want to gather information while also demonstrating that you are a thoughtful, serious applicant. Ask questions that show you're thinking about the long term — not just whether the flat looks nice.

The single best question to ask a landlord at a viewing: "Was ist Ihnen bei einem Mieter am wichtigsten?" — "What is most important to you in a tenant?" Their answer tells you exactly what to emphasise in your application. And asking it signals emotional intelligence — which counts for a lot.

Red flags — and green lights

Not every flat that looks nice is a good rental situation. Here are things to notice during the viewing that most applicants miss.

Moisture or mould marks on walls

Schimmel (mould) is a serious health issue and a legal grey area. Check corners of windows, behind furniture, and bathroom ceilings.

Landlord reluctant to show contract

Any landlord who won't let you read the Mietvertrag before signing is a warning sign. You have the right to review it.

Asking you to pay the Maklergebühr

Since 2015 ("Bestellerprinzip"), the party who hired the agent pays them — usually the landlord. You should not pay estate agent commission.

Without a handover protocol documenting the flat's condition, you can be held responsible for pre-existing damage on move-out.

Landlord has owned the building long-term

A landlord who has owned the property for 10+ years is unlikely to sell suddenly or move in themselves.

The energy certificate (Energieausweis) is legally required to be shown. A good energy rating means lower heating costs.

A landlord who mentions they hold the Kaution in a separate account is following best practice and is likely trustworthy.

If the previous tenant lived there for 5+ years and left by choice, it's usually a sign the flat and landlord are good.

Saying you want it — closing the viewing strongly

If you like the flat, say so clearly before you leave. Do not be coy. German landlords appreciate directness. A vague "I'll think about it" is often interpreted as low interest.

The follow-up message

Within 2 hours of the viewing, send a short email or message reiterating your interest. Something like: "Vielen Dank für die Besichtigung heute. Die Wohnung hat mir sehr gut gefallen und ich freue mich über die Möglichkeit, Ihr Mieter zu werden." (Thank you for today's viewing. I liked the flat very much and I look forward to the possibility of becoming your tenant.) This simple step — almost never done by other applicants — keeps you at the top of the landlord's mind.

Your Bewerbungsmappe — the application folder

The Bewerbungsmappe is your rental CV — a folder of documents that tells the landlord everything they need to feel confident choosing you. Bring it to every viewing. Having it ready on the spot, when most applicants say "I'll send it later," is one of the most effective differentiators in a competitive market.

Selbstauskunft (Self-declaration form)
Download from ImmobilienScout24 or ask the agent. Fill in your personal details, income, employment status, current living situation.
SCHUFA-Auskunft (Credit report)
No older than 3 months. Request the free annual version at meineschufa.de or pay €29.95 for the instant version. Landlords cannot legally demand it, but not having one raises suspicion.
Gehaltsabrechnungen (Pay slips)
Last 3 months. If self-employed, use your last two tax returns (Steuerbescheide).
Arbeitsvertrag oder Einstellungsnachweis (Employment contract)
Shows stable employment. Unbefristet (permanent) contracts are much more attractive than temporary ones.
Personalausweis / Reisepass (ID / Passport copy)
A clear photocopy — not the original.
Mietschuldenfreiheitsbescheinigung (Rent-debt-free certificate)
A letter from your previous landlord confirming you owe no rent. Not always required, but very impressive when provided.
Kurzes Anschreiben (Short cover letter)
Half a page. Who you are, your profession, why you want this flat specifically, and why you'd be a good tenant. Warm and personal in tone.

Organise the folder neatly — in a physical folder with dividers, or as a single clean PDF if sending digitally. Label each document clearly. This attention to organisation signals exactly the kind of tenant a landlord wants: careful, thorough, and reliable.

The rental contract — what to check and what to ask

Never sign a Mietvertrag without reading it first. Ask for a copy at least 24 hours before signing so you can review it carefully. Here is what to look for and what to ask about.

Mieterverein — your secret weapon

Germany has tenant protection associations called Mieterverein in every major city. For a small annual fee (€50–100), they will review your rental contract and advise you on any problematic clauses. If you find a flat, joining a Mieterverein before signing is one of the best investments you can make.

The Übergabe — move-in handover

The Übergabe (handover) is the walk-through you do with the landlord on the day you collect the keys. Everything — every mark, scratch, and imperfection — gets documented in the Übergabeprotokoll. This document protects you on move-out. If it's not in the protocol, you can be held responsible for it later. Take it seriously.

Photograph everything

Take time-stamped photos of every room, every wall, every appliance, and every existing mark before you move a single item in. Store these photographs safely. When you move out — even years later — these photos are your strongest defence against an unjust deposit deduction.

Talking to your landlord — ongoing communication

Once you're living there, you'll occasionally need to contact your landlord or Hausverwaltung. Here are the most common situations and what to say.
